2. What we use and why
We use contact details, messages, room preferences and property details to answer enquiries and arrange services. Our grounds are our legitimate interest in responding to enquiries or taking steps towards a contract at your request.
For tenancy applications and property management, we use identity, income, referencing, payment and tenancy records to assess applications and provide our services. Our grounds are steps towards a contract, performing that contract and our legitimate interests in preventing fraud and managing legal claims. Information may also come from employers, previous landlords, guarantors and booking or referencing providers involved in your application. Our team reviews tenancy applications; the room finder collects preferences to help suggest suitable rooms.
We process Right to Rent information and required financial records to meet legal obligations. Without information needed for these checks or a contract, we may be unable to proceed. Optional information is identified when requested.
We use technical information, including IP addresses and browser details, for our legitimate interest in operating and securing the website. See the Cookie Policy for information about device storage.
4. How long we keep it
We retain information according to its purpose, whether an enquiry remains active, the length of our relationship, legal record-keeping duties and the time needed to resolve or defend claims. We delete or anonymise it when no longer needed. Right to Rent evidence is kept throughout the tenancy and for one year afterwards.
5. Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing. Contact info@gladstay.co.uk; we respond within the time limits required by law.
You can object to processing based on legitimate interests and to any direct marketing. Contact us using the details above.
For privacy complaints, contact us at the same address. We acknowledge complaints within 30 days, investigate without undue delay, keep you informed and explain the outcome. You can also complain to the ICO at ico.org.uk/make-a-complaint/ (opens in a new tab) or on 0303 123 1113.
